Utterly Voice, LLC ("Utterly Voice", "we", or "us") takes privacy and security seriously. Our first line of defense against privacy and security threats is to process and retain as little user data as possible while providing important features. This document provides a detailed description of how various types of user data is processed and retained by the Utterly Voice Website, Utterly Voice Application (desktop main dictation component and bundled editor component), and the Utterly Voice Server (remote server component of the application). It also details any data that is shared with third-parties.
By default, the Utterly Voice Application does not retain or transmit any microphone audio data. Microphone audio data is provided to the local third-party recognizer to produce a transcript, then it is immediately deleted from memory.
If you change the audioFiles setting to enabled in the
general settings,
the Utterly Voice Application saves
your microphone audio data in local files on your computer,
but it does not transmit this data across the network.
If you change the recognizer setting in the
general settings
to be configured to use an online recognizer,
the Utterly Voice Application transmits
your microphone audio data using HTTPS encryption
to the third-party recognizer in order to produce transcripts.

By default, the Utterly Voice Application does not retain or transmit any transcript (spoken text) data it gets from the recognizer. This data is only used in application memory, which is deleted when the application terminates.
If you change the logRedaction setting to disabled in the
general settings,
the Utterly Voice Application
writes your utterance transcripts to a local log file on your computer,
but it does not transmit this data across the network.

If you change the recognizer setting in the
general settings
to be configured to use an online recognizer,
the third-party system produces transcript data,
which the third-party system sends to the Utterly Voice Application
using HTTPS encryption.
The third-party system may or may not retain this data.

Generative AI utilizing large language models (LLMs) is optionally used by the Utterly Voice Application to help users modify or generate content and for users to chat with the AI models. This is performed by sending user prompts (user provided input) and any content the user has currently opened in the Utterly Voice Application to the third-party system. The third-party system returns generated content.
By default, the Utterly Voice Application does not utilize Generative AI, does not collect user prompts, does not send user prompts on the network, and does not save user prompts locally.
If you change the settings in the
editor settings
to be configured to use an AI model by supplying a
apiKeySecret field with an API key for an AI model,
the Utterly Voice Application will send your input AI prompts to
the third-party system, which returns generated content.
This interaction uses HTTPS encryption.
The third-party system may or may not retain this data.

When purchasing a license, the Utterly Voice Website redirects you to a payment link hosted by a third-party payment system. Once payment is completed, you are redirected back to the Utterly Voice Website. This payment method was chosen specifically to avoid personal user data collection on the Utterly Voice Website.
The third-party payment system may collect your email address (for payment confirmation), full name, physical address (for sales tax calculation), and credit card information, wherein the payment system acts as the Data Controller for that data. The Utterly Voice Website does not have software that retains any of this personal payment data. The only payment data saved automatically by the Utterly Voice Website wherein Utterly Voice acts as the Data Controller is the order identifier associated with the payment. In the event of a payment issue, we may manually access this third-party payment system, and the data collected on our behalf.
The Utterly Voice Application settings are saved locally on your computer. Of these settings, only the following non-personal settings values are transmitted to the Utterly Voice Server for retention:
To aid debugging application issues, the Utterly Voice Application logs many user and system interactions. When the application starts, it deletes the existing log file and creates a new one. The application only stores this log file locally and never transmits it across the network.
If you change the logRedaction setting to disabled in the

the Utterly Voice Application
writes your utterance transcripts and Generative AI prompts to the log file.

Other non-transcript and non-user-prompt Utterly Voice user interactions are always written to the log file. For example, executed command names are written to the log file.
We may request that you privately send us an email with a log file attachment in order to help debug a problem. In this case, it is your responsibility to ensure that this log file does not contain anything confidential or anything that should not be shared privately with us. By sending us your log file, you consent to the processing of any information contained in those log files for troubleshooting purposes only.
The Utterly Voice Website does not use browser cookies or web beacons.
You may configure Utterly Voice to use third-party software. These other companies will have access to the information only as necessary to perform their functions and to the extent permitted by law. Nonetheless, you acknowledge that we do not have control over how such third-parties may use any information provided to them. You must reference the privacy policies of these systems to understand how your data is processed or retained in those systems. Utterly Voice does not guarantee the privacy or security of data once it leaves our systems and enters a third-party system you configure or use.
You might be using one or more of the following third-party systems while using Utterly Voice:
recognizer setting in the
general settings
or change the setting to use a different offline recognizer,
the Utterly Voice Application
sends your microphone audio data directly to
the local instance of the third-party system.
apiKeySecret setting in the
editor settings
for a Generative AI model (for example, gemini),
the Utterly Voice Application
sends your user prompts and potentially any data you currently
have open in the application to the associated third-party system.

the Utterly Voice Application
sends your microphone audio data to the third-party system.
